Transparency & stewardship

Trust should be built into the organization, not added later

Heart and Hands Relief Foundation is still developing its programs, governance, and fundraising systems. This page is the home for the standards we intend to follow and the documents we will publish as they become applicable and available.

Our approach

Transparency means showing both the mission and the machinery behind it.

Supporters should be able to understand how the foundation is governed, how money is handled, what programs actually exist, and how results are measured.

Because the organization is still being established, some reports and policies do not exist yet. We would rather label those items clearly than imply that a document, program, or control is already in place when it is not.

Stewardship commitments

Standards we want to carry into every stage of growth

Clear use of funds

We intend to explain how charitable resources support direct relief, program delivery, responsible operations, technology, outreach, and qualified staff needed to carry out the mission.

Responsible governance

Board oversight, documented decision-making, conflict-of-interest practices, and appropriate review of compensation and major financial decisions are part of building a durable organization.

Honest fundraising

Fundraising messages should accurately describe current programs, needs, and plans without overstating impact, urgency, tax treatment, or what a specific gift will accomplish.

Respect for donor privacy

Donor information should be collected only when useful for processing gifts, stewardship, legal obligations, and requested communications, with access limited to people who need it.

Governance direction

Controls should protect the mission from conflicts, shortcuts, and unclear decisions.

The foundation intends to formalize governance practices as the board and operating structure are established. These are the areas we expect to document and review.

Maintain records of board decisions and significant organizational actions.

Adopt and review a written conflict-of-interest policy and document how conflicts are handled.

Use independent board review and appropriate comparability information when approving compensation for insiders or key employees.

Review required annual filings and financial information before submission or publication.

Develop written policies for document retention, whistleblower protection, gifts, privacy, and other areas as the organization grows.

Public documents & reporting

A place for the records supporters should be able to find

This section is intentionally a roadmap today. As documents become real and applicable, the status labels can be replaced with direct links to the published records.

IRS determination & exemption documents

Publish when available

If and when the foundation receives applicable federal tax-exempt recognition, public-facing exemption documents can be made accessible here alongside any required supporting material.

Annual IRS filings

Publish after filing

Applicable Form 990-series filings will be linked here after they are filed and available for public disclosure.

Annual financial summary

Planned

A readable summary can show revenue, program spending, operating costs, major categories of support, and other context that helps supporters understand how resources were used.

Impact report

Planned

As programs begin operating, the foundation can publish measurable results, lessons learned, and the limits of what the available data can show.

Governance policies

In progress

A public policy library now identifies published privacy commitments, a draft conflict-of-interest framework, and policies still awaiting formal development or adoption.

Board & leadership information

Planned

Leadership roles, board membership, and relevant governance information can be added as the organization finalizes its structure.

Donor privacy

Giving should not require surrendering unnecessary personal information.

Payment details should remain with the selected secure payment provider rather than being stored directly by this website. Donor contact information should be limited to legitimate administrative, stewardship, legal, and communication needs.

Questions & accountability

Supporters should be able to ask how the organization works.

If you have a question about governance, financial stewardship, fundraising practices, or a future published report, contact the foundation directly.

Support with context

Fundraising and transparency should grow together.

As giving opens, this page will be updated alongside the donation system so supporters can see the policies, reporting, and stewardship practices behind the request for support.
